SUBJECT: EMPLOYEE'S SPOUSE AND DEPENDENTS REGISTERING AS STUDENTS

Faculty/Staff Scholarships covering up to thirty (30) credit hours per year are given to the spouse and/or unmarried, immediate, dependent child or children of all regular, full-time employees of the university. Faculty/Staff scholarships are not eligible for block tuition. Credit hours taken beyond thirty (30) credit hours per year are the financial responsibility of the student. "Dependent" is defined according to guidelines found in the FAFSA (Free Application for Federal Student Aid) available in the Student Financial Aid Office or at .

If both spouses are full-time WBU employees, each individual is allowed one course per 16-week term or 8-week session. However, children meeting the definition of "dependent" according to FAFSA, which are also full-time WBU employees, may receive the thirty (30) credit hour Faculty/Staff Scholarship per year. For purposes of this policy, a regular full-time employee is one who:

  1. Teaches twenty-four (24) credit hours at the Plainview campus or thirty-three (33) semester hours online or at an external campus in a given twelve-month period,
  2. Is employed for 37.75 or more hours per week for a twelve-month period,
  3. Is employed under a full-time administrative contract, or
  4. Is employed under a contract where teaching and/or administration and/or hourly employment is equivalent to full-time

If an employee's spouse and/or dependent is an undergraduate student and wishes to receive aid for more than one class per 16-week term or 8-week session, the student must file the FAFSA. This will determine eligibility for grants and loans (federal and/or state funded).

If an employee's spouse is enrolled in a graduate program and wishes to receive federal loans for more than one class per 16-week term or 8-week session, the student must file the FAFSA. This will determine eligibility for loans (federal and/or state funded). Dependent children in a graduate program are not eligible for the Faculty/Staff Scholarship because they no longer meet the definition of "dependent" according to FAFSA.

All grants and entitlements from federal and state sources will be first applied to any direct educational costs beyond tuition. Direct educational costs include tuition, fees, books, and course supplies. The net amount of grants and other entitlements will then be applied to tuition. Any remaining tuition balance will then be offset by the Faculty/Staff Scholarship. In the event federal and/or state grants are not available to the student, any fees, books, and course supplies are the responsibility of the student. The Faculty/Staff Scholarship covers tuition only.

The Certificate of Eligibility form (Attachment A) is due in the financial aid office no later than one (1) week following the end of registration of the 16-week term or 8-week session.

Failure to meet satisfactory academic standards as outlined in the current university catalog will result in loss of scholarship eligibility.

The Faculty/Staff Scholarship will not apply to courses that are dropped or failed.

Institutional or endowed scholarships, including the Faculty/Staff Scholarship, will not be awarded to students who are currently in default on any student loan or owe a PELL overpayment under the Title IV program.

In the event employment is terminated prior to the census date of a given 16-week term or 8-week session, spouse and dependent children attending the university under this provision may complete the 16-week term or 8-week session in which they are currently enrolled, but the Faculty/Staff Scholarship will not apply. In the event employment is terminated after the census date of a given 16-week term or 8-week session, spouse and dependent children attending the university under this provision may complete the 16-week term or 8-week session in which they are currently enrolled and the Faculty/Staff Scholarship will apply.

The total of all institutionally funded scholarships and grants may not exceed the cost of tuition.
