Administrative Assistant

LOCATION: 51³Ô¹ÏÍøÊÓƵ Baptist University (WBU) – Plainview Campus 

OFFICE: Office of the President 

SUPERVISED BY: Executive Assistant to the President

CLASSIFICATION: Non-exempt 

POSITIONS SUPERVISED: None 

POSITION WILL BEGIN JANUARY 6, 2025

GENERAL RESPONSIBILITIES: The Administrative Assistant is responsible for positively and professionally representing the Office of the President to all University constituents.

SPECIFIC TASKS AND DUTIES:

  1. Answer telephones in 51³Ô¹ÏÍøÊÓƵ’s multi-line system; answering questions of students, applicants, professors, administrators, and members of the larger 51³Ô¹ÏÍøÊÓƵ community. Address concerns and/or route telephone calls to the appropriate personal in an effort to completely address the concerns of the callers.
  2. Proficient in operating a personal computer and in using a variety of software applications: particularly Microsoft Office Suite; Outlook, create meetings; Zoom, create and conduct video teleconference calls and conference calls.
  3. Maintains and organizes
  4. Centralized University Calendar for all 51³Ô¹ÏÍøÊÓƵ events
  5. Assists the Executive Assistant
  6. Daily operations of the Office of the President
  7. Plainview Graduations
  8. Convocation Chapel
  9. Board of Trustees – luncheons and dinners
  10. Assists with Campus events such as Development Day, Lighting Up 51³Ô¹ÏÍøÊÓƵ
  11. Serves on committees as assigned
  12. Assists the President’s spouse in tasks as assigned

MINIMUM QUALIFICATIONS:

Education:

  1. High School Diploma or GED required
  2. Some college work preferred

Experience and Knowledge:

  1. Successful experience in a professional office setting
  2. Proven computer experience with Microsoft Office programs
  3. Experience in event planning, preferred
  4. Experience working with volunteers and volunteer groups

Skills and Abilities:

Work Environment: The work environment for this position is a standard office setting. Employees will work primarily at a desk or workstation, utilizing standard office equipment such as computers, phones, and printers.  The office maintains a controlled temperature.  Noise levels are generally moderate, with typical office sounds such as conversations and office machinery. 

Hours of Work: Plainview campus - Although full-time, nonexempt Plainview employees are normally scheduled to work 37.75 hours per week, the official work week for full-time salaried employees is forty (40) hours. External campuses - Although full-time, nonexempt external campus employees are normally scheduled to work 37.75 hours per week, the official work week for full-time salaried employees is forty (40) hours. Normal work days on all campuses are Monday through Friday

Physical Demands:

Frequently stand and walk;

Frequently flex upper trunk forward while sitting or standing;

Frequently lift up to 10 pounds and occasionally lift up to 25 pounds;

Frequently carry up to 10 pounds and occasionally carry up to 25 pounds;

Occasionally push or pull objects;

Occasionally flex upper trunk forward at the waist and partially flex at the knees;

Frequently reach at or below should height, and occasionally reach above shoulder height

CONDITIONS OF EMPLOYMENT:

Employment is subject to an introductory period to monitor employee performance.   If hired, the prospective employee must present documentation within three (3) days of hire date to establish identity and employment eligibility as required by Immigration and Customs Enforcement (ICE).  Employee must be able and willing to travel and provide recruitment assistance to external campuses.  Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license.  Must have and maintain a satisfactory driver’s record.
