Coordinator of Accounts Payable
LOCATION: 51³Ô¹ÏÍøÊÓƵ Baptist University – Plainview Campus
SUPERVISED BY: Director of Procurement
POSITION CLASSIFICATION: Non-Exempt
POSITIONS SUPERVISED: Works closely with the Accounts Payable Clerk but is not the manager
GENERAL RESPONSIBILITIES: Oversees all aspects of the Accounts Payable function, including receiving and processing invoices, preparing payments, issuing purchase orders, and responding to vendor and employee inquiries.
SPECIFIC TASKS AND DUTIES:
- Processes approved requisitions for Purchase Orders (PO’s), travel forms, and checks.
- Prepares refunds of student credit balances.
- Maintains files of paid invoices.
- Assists faculty, staff and vendors with questions regarding invoices or payments.
- Researches problems with invoices and billings.
- Responds to inquiries from external auditors

MINIMUM QUALIFICATIONS:
Education: High School Diploma or GED required.
Experience and Knowledge:
- At least three years of experience in accounts payable for a complicated, decentralized organization
- Knowledge of automated accounts payable systems and processes
- Demonstrated success in delivering accounts payable functions, balancing the needs of the organization and vendors.
Skills and Abilities:
- Excellent computer skills with experience in Microsoft Word, Excel, internet and email. Experience with Great Plains preferred.
- Strong written and verbal communication skills.
- Courtesy and tact responding to phone or in-person inquiries
- Work independently with minimal supervision.
- Able to learn and apply policies and procedures.
- Anticipate and respond to problems, demonstrate sound judgment and tact in handling difficult or confidential matters.
Additional Requirements: The individual holding this position must be bondable.
Work Environment:
The work environment for this position is a standard office setting. Employees will work primarily at a desk or workstation, utilizing standard office equipment such as computers, phones, and printers. The office maintains a controlled temperature. Noise levels are generally moderate, with typical office sounds such as conversations and office machinery.
Hours of Work:
Plainview campus - Although full-time, nonexempt Plainview employees are normally scheduled to work 37.75 hours per week, the official work week for full-time salaried employees is forty (40) hours.
Physical Demands:
- Frequently stand and walk;
- Frequently flex upper trunk forward while sitting or standing;
- Frequently lift up to 10 pounds and occasionally lift up to 25 pounds;
- Frequently carry up to 10 pounds and occasionally carry up to 25 pounds;
- Occasionally push or pull objects;
- Occasionally flex upper trunk forward at the waist and partially flex at the knees;
- Frequently reach at or below should height, and occasionally reach above shoulder height
CONDITIONS OF EMPLOYMENT:
Employment is subject to an introductory period to monitor employee performance. If hired, the prospective employee must present documentation within three (3) days of hire date to establish identity and employment eligibility as required by Immigration and Customs Enforcement (ICE). Employee must be able and willing to travel and provide recruitment assistance to external campuses. Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license. Must have and maintain a satisfactory driver’s record.
