GENERAL RESPONSIBILITIES: The Academic Records Auditor is responsible for assisting in the evaluation and auditing of academic degree plans to ensure they comply with institutional and program-specific requirements. This role involves supporting the degree audit process, maintaining accurate records, and providing basic guidance to students and staff regarding degree requirements.
SPECIFIC TASKS AND DUTIES:
- Assist in Auditing Academic Degree Plans:
- Support the review and evaluation of student degree plans for compliance with institutional and program-specific requirements.
- Assist in verifying course substitutions, waivers, and transfer credits under the guidance of the senior auditor.
- Help ensure that students are on track to meet all graduation requirements.
- Compliance and Standards Support:
- Assist in ensuring that academic programs and degree plans comply with institutional policies, accreditation standards, and regulatory requirements.
- Monitor changes in curriculum requirements and update degree audit systems as directed.
- Process Improvement:
- Identify and recommend improvements to degree audit processes and systems under the guidance of senior auditor.
- Participate in the implementation of new policies and procedures related to degree auditing.
- Communication:
- Communicate effectively with stakeholders regarding degree audit findings and recommendations.
- Other Duties:
- Process requests for Letters of Completion and graduate studies degree verification.

MINIMUM QUALIFICATIONS:
Education: Bachelor's degree required
Experience and Knowledge:
- Experience: Preferably a minimum of two years’ experience in academic advising/evaluating, curriculum management, or a related field.
- Knowledge: Basic understanding of higher education policies, degree requirements, and accreditation standards.
Skills and Abilities:
- Skills: Strong organizational and problem-solving skills. Attention to detail. Proficiency in using university software, the Microsoft Suite, and student information systems.
- Communication: Effective written and verbal communication skills. Ability to work collaboratively with diverse stakeholders. The ability to deal fairly and diplomatically with students and their family members, faculty and staff in the university system within the confines of FERPA regulations.
- Punctuality, dependability, integrity, honesty and loyalty in the performance of duties in the position.
Work Environment: The work environment for this position is a standard office setting. Employees will work primarily at a desk or workstation, utilizing standard office equipment such as computers, phones, and printers. The office maintains a controlled temperature. Noise levels are generally moderate, with typical office sounds such as conversations and office machinery.
Hours of Work: Plainview campus - Although full-time, nonexempt Plainview employees are normally scheduled to work 37.75 hours per week, the official work week for full-time salaried employees is forty (40) hours. External campuses - Although full-time, nonexempt external campus employees are normally scheduled to work 37.75 hours per week, the official work week for full-time salaried employees is forty (40) hours. Normal work days on all campuses are Monday through Friday.
Physical Demands:
- Frequently stand and walk;
- Frequently flex upper trunk forward while sitting or standing;
- Frequently lift up to 10 pounds and occasionally lift up to 25 pounds;
- Frequently carry up to 10 pounds and occasionally carry up to 25 pounds;
- Occasionally pull or push objects;
- Occasionally flex upper trunk forward at the waist and partially flex at the knees;
- Frequently reach at or below shoulder height, and occasionally reach above shoulder height.

CONDITIONS OF EMPLOYMENT:
Employment is subject to an introductory period to monitor employee performance. If hired, the prospective employee must present documentation within three (3) days of hire date to establish identity and employment eligibility as required by Immigration and Customs Enforcement (ICE). Employee must be able and willing to travel and provide recruitment assistance to external campuses. Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license. Must have and maintain a satisfactory driver’s record.
